Twelve months sounds like a long runway for a wedding, and it is, right up until the point where venue availability, vendor calendars, and travel timelines all start competing for the same weeks. This is the month-by-month structure we use with couples planning a multi-day destination wedding in Rajasthan or abroad.

Months 12 to 10: Foundations

  • Lock your date and venue: Palace and five-star properties in Rajasthan book out 10 to 14 months ahead for the October-to-March peak season; international venues often need similar lead time.
  • Hire your planner: Bringing a planner on this early means they can negotiate venue contracts directly instead of inheriting terms you signed alone.
  • Set a guest list ceiling: Decide the maximum number early, since venue capacity, catering minimums, and room block sizes all depend on it.
  • Months 9 to 7: Vendors and Design

  • Book photography and videography: The best destination wedding photographers are often booked 9 to 12 months out for peak season dates.
  • Confirm your core entertainment: Sangeet choreographer, DJ or live band, and any specialty acts like a Sufi ensemble or folk dance troupe should be contracted now.
  • Start decor concept development: Approve the palette and mandap design direction, and begin sourcing so long-lead items like custom drapery can go into production.
  • The Final Six Months

    The last stretch is less about big decisions and more about locking every detail down and getting guests moving.

    # Months 6 to 4: Logistics and Guest Travel

  • Send save-the-dates with a booking deadline: Give international guests at least 6 months' notice before flights and visas become expensive or difficult.
  • Negotiate hotel room blocks: Lock group rates across two or three nearby properties if your primary venue can't house every guest.
  • Finalize the multi-day itinerary: Confirm dates and rough timings for Mehendi, Haldi, Sangeet, and the wedding ceremony so guests can plan their trip around it.
  • # Months 3 to 1: Finalizing Every Detail

  • Confirm final headcounts per function: Catering and seating orders typically lock 3 to 4 weeks out and get expensive to change after that.
  • Complete costume fittings and finalize the run-of-show: Every performance, entrance, and speech should have a timed slot on a single master document shared with all vendors.
  • Reconfirm every vendor contract in writing: Payment schedules, arrival times, and contingency plans for weather or travel delays.
  • # Final Week: Execution

  • Hold one full technical rehearsal on-site: Walk the actual ceremony and stage spaces with your planner, sound team, and lighting team together, not separately.
  • Set up a guest welcome desk: Have your logistics team greet arriving guests at the airport or hotel lobby with a printed itinerary and local contact number.
  • Assign a single point of contact for each function: So you and your families are never the ones fielding vendor questions on the actual wedding days.
